Confirm Delivery

Confirm Delivery is a feature that allows you to check you have received what is on your invoice before it is sent for approval.  

The Confirm Delivery action must be completed before the document will be sent for approval. 

 

Below is a list of steps on how to use it. 

 

  1. On your Dashboard, click the ‘Confirm Delivery’ tile. 

 

 

  1. Next you can apply any combination of the available filters if needed. These are listed below 

  • Start and End Date. Put in a start date and an end date to filter down the documents you see in your list. 

  • Choose if your supplier is processed via Nominal Ledgers only or Purchase Orders.  

  • If you are filtering by Purchase Orders, choose if you wish to see the documents that are a complete match, no match, or with a variance.  

  • You can choose to filter by supplier or to group all documents from all suppliers into one folder. 

  • PO Start and End Date. If filtering by Purchase Order supplier type, put in a start date and end date to filter down the documents you see in your list. 

 

  1. When you have your desired filters applied, next you will click to open the group of documents for the supplier you want to open and click the black page link to the right of the document you wish to open. 

 

  1. Next you will choose an action to take on the document you have opened, these document actions are listed below. 

  •  - Complete GRN. Clicking here will confirm you have received your delivery. 

  •  - Complete GRN and Approve. If you are down for both the Confirm Delivery and Approval for this supplier, you can complete both actions with the click of one button. 

  •  - Hold. Clicking this will give you options for placing the document on hold. You can do this as an internal hold, or you can let the supplier know you have placed it on hold. 

  •  - Reject. Clicking this will give you options to send the document back to the supplier, along with any reasons you have given. The document will then be removed from your Dashboard, and you will need to use Search & Reporting to find it on your account. 

  •  - Edit Document. You will be brought to the edit screen where you can make any necessary changes to the document. 

  •  - Download Original. Click this to download a copy of the document that was sent into your account. 

  •  - Previous and Next. Clicking these will bring you to the previous or next document in your list. 

  •  - Click this to see the original document.
