Understanding the View Templates Page

Introduction:

The View Templates page provides an overview of the templates you have created for suppliers in SmartOffice. By accessing this page, you can manage and review your templates efficiently. Follow the steps below to access and navigate the View Templates page.

Accessing the View Templates Page:

Click the settings icon located on the top-right corner of the page.

From the dropdown menu, select "View Templates."

On this page, you will find a list of suppliers for whom you have created templates.

The supplier list displays the number of templates created for each document type associated with the supplier.

Approval Required Indicator:

You can easily identify if "Approval Required" is enabled for a specific supplier by the presence of the approval icon .

This setting indicates whether the supplier requires approval for the associated documents.

Viewing/Editing Supplier Rules:

For each supplier, you have the option to view and edit the supplier rules.

Clicking on this option allows you to customise and manage the rules for that supplier.

Opening Template List:

By clicking on a supplier's name, you can open a pop-up window displaying all templates associated with that supplier.

This list showcases the status of each template, indicating whether they are active or have been previously deleted.

Deleting Templates:

If needed, you can delete templates directly from the View Templates page.

However, it's important to note that deleting a template will move all active (not uploaded) documents associated with that template back to "New Documents."

From there you can create a new template for those documents.

Note: It's important to highlight that template editing is not available directly on the View Templates page.

To edit a template, navigate to an active document, click "Edit Template" at the top of the page, and make the necessary changes in the pop-up window.

By utilising the View Templates page, you can conveniently manage your supplier templates, review associated rules, and access detailed template lists for specific suppliers. Proper template management ensures streamlined document processing and customisation within SmartOffice.
